Paper and electronic forms

We all use either paper or electronic forms on a daily basis.
They serve as a means of interaction between:

  • companies and suppliers (e.g. customer and purchase orders, contracts, complaints, etc.),
  • companies and customers (e.g. transactions involving bank accounts, cash deposits, funds, insurance, etc.)
  • citizens/companies and administrations (e.g. tax & VAT declaration, social security, etc.)
  • employees and employers (e.g. travel, holiday or training requests, expense reports, investment requests, etc.).

Principal business issues related to paper-based forms:

  • Increasing pressure to reduce costs (print, storage, optimization of (back-office) processes, extension of current processes to match new requirements of a greater geographical distribution of organizations),
  • Responsiveness and customer service (paper-based processes are slow),
  • Stricter compliance with rules and regulations,
  • Impact of the Internet and new technologies – customers are more and more reluctant to apply paper-based processes and require real-time availability of forms.

Furthermore, it's important to note that forms and contracts are subject to ever-shortening cycles of modification. Regularly updating these documents is a very time- and work-intensive process, which normally requires for each document to be amended individually. However, when documents are made up of clearly defined, multiple-use text modules, the data integrity of all relevant documents may be updated in a single place, thus offering a high level of consistency and saving time.

Using intelligent, modular form documents also helps remove obstacles that systems have with the digital processing of handwritten information. In addition, modular forms with integrated plausibility checks reduce processing time by cutting down the amount of documents refused due to errors. The savings thus made lead to a greater return on investment (ROI).

The more automated forms are, the higher the ROI will be.

According to Gartner, as much as 85 percent of business processes depend on forms, and electronic counterparts (eForms) can yield significant savings over paper in design, development, production, inventory, delivery, data quality and integration, as well as reduce the time and effort associated with paper-intensive processes.
